2. What this policy covers
This policy explains how we collect and use personal data when you visit our website, contact us, join our email list, buy or manage tickets via our ticketing partner, or attend our events.
3. Categories of data we process
Website usage data: IP address, device and browser info, pages viewed, referrers, cookies or similar IDs.
Contact data: name, email, message content, any files you send.
Ticketing data: name, email, ticket details and order metadata processed by Eventbrite on our behalf for event access.
Marketing data: newsletter subscription status, open and click rates (Squarespace Email Campaigns).
Media at events: photography, video and audio that may include your image and voice.
Business operations: supplier and partner contact data, artist and agency contacts, venue and sponsor contacts, job applications.
4. Purposes and legal bases
We process personal data only where a legal basis applies:
Operating the website, security, fraud prevention and essential cookies. Legal basis: legitimate interests (Art. 6(1)(f) GDPR).
Analytics and marketing cookies where consent is given. Legal basis: consent (Art. 6(1)(a) GDPR).
Handling enquiries via contact form or email. Legal basis: legitimate interests to respond, or pre-contract steps (Art. 6(1)(f) or 6(1)(b)).
Email newsletters via Squarespace Email Campaigns. Legal basis: consent (Art. 6(1)(a)). You can unsubscribe at any time.
Ticketing and event access via Eventbrite. Legal basis: contract performance (Art. 6(1)(b)).
Event photography and filming for documentation and promotion. Legal basis: legitimate interests (Art. 6(1)(f)).
Accounting, tax and legal obligations. Legal basis: legal obligation (Art. 6(1)(c)).
5. Cookies and similar technologies
Our site runs on Squarespace and uses its built-in cookies for core functionality. With your consent we also use:
Google Analytics 4 with IP anonymisation enabled.
Meta Pixel and Google Ads tags for advertising measurement and optimisation.
YouTube embeds in privacy-enhanced mode where available.
You can change or withdraw consent at any time via the cookie banner settings. A dynamic list of cookies is provided by Squarespace on their site.
6. Services we use (processors and partners)
We only share data with services necessary to run our website and events:
Squarespace (hosting, CMS, email campaigns).
Google (Analytics, Ads, reCAPTCHA v3, YouTube).
Meta (Meta Pixel).
Eventbrite (ticket sales, ticket management and entry control).
Email and standard IT providers where necessary for operations.
These providers may process data in the EU and in third countries. Where data goes outside the EEA, we rely on appropriate safeguards such as the EU Standard Contractual Clauses.
7. Ticketing via Eventbrite
Ticket purchase, payment processing and ticket management are provided by Eventbrite. Eventbrite acts as an independent controller for parts of its processing. Your use of Eventbrite is also governed by Eventbrite’s own privacy policy. We receive access to your order data for event administration and access control.
8. Anti-spam protection
We use reCAPTCHA v3 to protect forms from abuse. reCAPTCHA evaluates technical signals to distinguish humans from bots. Use of reCAPTCHA is subject to Google’s privacy terms.
9. Event photography and filming
LoopLab events are professionally filmed and photographed for documentation and promotion. The primary focus is on performers, front-of-stage areas and crowd near the barrier. Wider shots of the dancefloor may also be captured for aftermovies and photos.
Legal basis: legitimate interests in promoting and documenting our events.
Your options: if you wish to avoid close-up filming, please avoid the front-of-stage filming zone or speak with our media team or security on the night.
Your rights: you can contact us with takedown requests, including a link or clear description of the content.

10. Newsletter
We use Squarespace Email Campaigns. By subscribing you consent to receive updates about LoopLab events and content. No double opt-in is currently used. You can unsubscribe at any time via the footer link or by emailing us. We track open and click rates to improve content.
11. Data retention
Contact enquiries: 12 months after last action.
Newsletter data: until you unsubscribe, or after 24 months of inactivity.
Contract and invoice records: 10 years to meet German commercial and tax law.
Event media: kept for archive and promotion on an ongoing basis unless a justified objection is upheld.
Web analytics data: per the default retention settings of the respective tools or until consent is withdrawn.
12. Your rights
You have the following rights under GDPR, subject to conditions and applicable law:
Access to your data, rectification, erasure, restriction, portability, and objection to processing based on legitimate interests.
Withdraw consent at any time, with effect for the future, for processing that relies on consent.
Lodge a complaint with a supervisory authority. Our lead authority is typically in Nordrhein-Westfalen (NRW). You may also contact your local authority.

13. Children
LoopLab events and our site are intended for adults. We do not knowingly process children’s data. Entry is strictly 18+.
14. Security
We use appropriate technical and organisational measures to protect personal data, including TLS encryption, access controls and least-privilege practices. No method of transmission or storage is 100% secure, but we work to safeguard your data.
15. Data sources
We collect data directly from you, from your use of our site and services, from our ticketing partner when you buy tickets, and from public sources where appropriate for business operations.
16. Google Analytics (GA4) with Google signals & advertising features
We use Google Analytics (GA4). If you consent to analytics and advertising cookies, we enable Google signals so that Google can associate visits with signed-in Google users, provide cross-device reports, demographics and interests, and build remarketing audiences.
Legal basis: consent (Art. 6(1)(a) GDPR).
Transfers: Google may process data in the EU and third countries using EU Standard Contractual Clauses.
Your choices: you can withdraw consent at any time via our cookie settings. You can also control ad personalisation in your Google account (e.g., Ad Settings / My Activity) or use Google’s browser opt-out add-on for Analytics.
Note: we do not upload personal data to Google Analytics and we avoid collecting sensitive categories.
17. Changes to this policy
We may update this policy from time to time. The version posted here at the time of your visit applies. Material changes will be signposted on the site.
